We are seeking a proactive and organised Club Operations and Venue Manager to play a central role in the day-to-day running of South Narrabeen Surf Life Saving Club.
This is a unique opportunity to combine club operations, administration and venue management in one of the Northern Beaches’ most iconic beachfront locations. The role is responsible for ensuring the smooth operation of the Club, while also driving venue hire and event revenue through our popular function space overlooking South Narrabeen Beach.
Working closely with a volunteer Board, this role is ideally suited to someone who enjoys working across a broad range of responsibilities, can manage systems and people effectively, and takes pride in delivering a well-run community organisation.

Hours
Approximately 30 hours per week, generally during business hours. Occasional evening or weekend attendance may be required to support major Club events (approximately 2-3 per year).
The role offers flexible working arrangements. Many administrative and operational tasks may be undertaken remotely; however, the Club Operations and Venue Manager is expected to attend the Club regularly and be on site whenever operational needs require, including for venue inspections, meetings, maintenance coordination and event preparation.
A regular on-site presence at the Club is expected, typically at least one day per week, with additional visits as required to support Club operations.
Salary
$60,000 – $70,000 per year (pro-rata) depending on experience. This reflects a full-time equivalent salary range of approximately $75,000 – $88,000.
Probation
The position will be subject to a six-month probation period, with performance reviews conducted at three and six months.

Role Purpose
The Club Operations and Venue Manager plays a central role in the day-to-day operation of South Narrabeen Surf Life Saving Club and the management of the Club’s venue and functions.
The role supports the volunteer Board of Directors by ensuring the Club’s administration, financial processes, communications, venue hire and building operations run efficiently.
The role also drives revenue through venue hire, bar operations and events while ensuring the Club operates safely, professionally and in compliance with all relevant regulations.
The role requires a proactive and organised operator who can manage systems, people and events while supporting the volunteer Board to deliver a well-run and financially sustainable club.
The Club Operations and Venue Manager is a key representative of the Club and is expected to maintain strong relationships with members, volunteers, suppliers, sponsors, community stakeholders and Surf Life Saving governing bodies.
The Club Operations and Venue Manager is responsible for day-to-day operational decisions within approved budgets and policies. Major operational or financial decisions will be referred to the Board or relevant Director.
All operational direction to the role is to be coordinated through the President or Director of Administration.

Key Responsibilities and Duties
1. Club Administration
- Provide day-to-day administrative support to the Club and its Directors.
- Act as the first point of contact for members, prospective members and the public.
- Maintain accurate membership records in Surfguard.
- Assist with membership enquiries, registrations and renewals.
- Maintain organisational records including patrol hours, awards and qualifications.
- Generate reports and information for Directors as required.
- Assist with Club functions including the AGM, presentation night and other member events.
- Maintain Club records, honour boards and historical information.
- Ensure office systems, equipment and supplies are maintained.
Working with the Director of Finance:
- Manage accounts payable and receivable including invoicing and debtor management.
- Input financial data into Xero including appropriate account coding.
- Process payments, reimbursements and banking deposits.
- Reconcile cash receipts and venue income.
- Manage payment systems including Square and cash tills.
- Assist with financial record keeping and reporting.
- Assist with preparation of budgets and financial reports for venue operations and events.
- Manage venue hire bookings for the Ocean View Room and other club spaces.
- Respond to booking enquiries and coordinate venue hire agreements and invoicing.
- Ensure events are professionally delivered and customers have a positive experience.
- Coordinate event logistics including setup, suppliers and venue preparation.
- Prepare risk assessments and ensure events comply with relevant health and safety requirements.
- Develop relationships with event planners, local organisations and community groups to grow venue bookings.
- Promote venue hire opportunities through appropriate marketing channels.
- Identify opportunities to increase venue utilisation and revenue through new events, partnerships and initiatives.
- Recruit, train and manage a small team of casual event staff including an event duty manager responsible for supervising functions and events.
- Develop event staff rosters and ensure staff are appropriately trained in venue procedures and responsible service of alcohol.
- The Club Operations and Venue Manager may delegate the on-site supervision of events to trained event staff or duty managers.
- Ensure bar operations comply with NSW liquor licensing and gaming regulations.
- Manage ordering, stock control and storage of alcoholic and non-alcoholic beverages.
- Conduct regular stocktakes and investigate discrepancies.
- Ensure bar areas and equipment are maintained to appropriate health and safety standards.
- Coordinate the general upkeep and maintenance of the Club building and facilities.
- Liaise with Northern Beaches Council regarding building maintenance and repairs.
- Manage building access systems, security and surveillance where applicable.
- Coordinate cleaners and facility maintenance contractors.
- Ensure IT systems, telecommunications and utilities remain operational.
- Act as the first point of contact for café leaseholders regarding building matters.
- Assist with building improvement projects including obtaining quotes and coordinating contractors.
- Coordinate Club communications to members and stakeholders.
- Prepare and distribute newsletters, announcements and invitations.
- Send EDMs, SMS messages or other communications as requested by Directors.
- Maintain and update the Club website and social media platforms.
- Assist with preparation of the Club’s Annual Report.
- Correspond with VIPs, community stakeholders and invited guests for Club events.
- Assist the Board in managing sponsor relationships.
- Support delivery of sponsorship benefits and recognition at Club events and activities.
- Maintain strong relationships with community partners and local organisations.
- Assist Directors with grant administration and reporting requirements.
- Maintain records of grant expenditure and supporting documentation.
- Assist with gathering information and documentation required for grant applications.
- Assist with purchasing of Club supplies and equipment.
- Order Surf Life Saving uniforms, training materials and other equipment as directed.
- Assist in managing Club merchandise and clothing stock.
- Maintain stock levels of building consumables and supplies.
- Ensure venue operations comply with licensing and regulatory requirements.
- Maintain appropriate operational records and documentation.
- Assist with regulatory filings and reporting as required.
- Liaise with Sydney Northern Beaches Branch, Surf Life Saving NSW and Surf Life Saving Australia where required.
- Support Directors in fulfilling their governance and administrative responsibilities.
- Assist Directors in coordinating volunteers for Club events and activities where required.
- Support a positive and collaborative relationship between volunteers, staff and members.
- Maintain records required for insurance and risk management.
- Support incident documentation and reporting processes where required.

Essential
- Demonstrated experience in administration, operations, venue management, events, hospitality or a similar role.
- Strong organisational and time management skills with the ability to manage multiple priorities and meet deadlines.
- Experience managing bookings, coordinating events or working within a venue or customer-facing environment.
- Experience managing financial administration including invoicing, reconciliation and record keeping.
- Strong communication and interpersonal skills with the ability to work effectively with volunteers, members, suppliers and community stakeholders.
- Ability to work independently and take initiative while operating within the governance structure of a volunteer-led organisation.
- Good computer skills including Microsoft Office and experience using business systems or databases.
- Ability to recruit, train and manage casual staff.
- Strong customer service skills and a professional approach to member and client interactions.
- An understanding of surf lifesaving, community sporting, not-for-profit or volunteer-based organisations.
- Experience using Xero, Square, Surfguard, or similar membership or financial systems.
- Experience coordinating venue hire, weddings or community events.
- Experience managing bar operations or licensed premises.
- Knowledge of relevant regulatory requirements for venues including liquor licensing, workplace health and safety or event risk management.
- Experience with marketing, social media or promoting venue hire.
- Experience assisting with grant administration or sponsorship coordination.
- Connection to, or familiarity with, the Northern Beaches community.
